The major goal in a long distance commercial move is to plan well in advance and make sure you can be up and running as soon as possible. About two weeks prior to your business move it is advisable to make two sets of finished floor plans available to the moving staff. Decide exactly where the furniture and equipment will be placed and where each employee will be sitting. The long distance movers will usually have a color and number system, specific to your project. They will color-code the floor plans, identifying all furniture and equipment. Each item will carry a moving label stating the department name, designated location in the new facility and person's name if needed. This color-coding system allows for accurate movement of all office effects, including furniture, objects and materials. Maintaining an organized long distance commercial move will keep everyone happy and on track to continue business as usual.

An estimator  will come to your site to survey your facilities and assess your needs. At this time they can determine the amount of equipment and materials needed as well as the manpower, and check the logistics of the move in reference to street and elevator access. You should know if the area will accommodate the eighteen wheelers that will be hauling your company belongings. For long distance moving you will be charged mainly on the weight of your items and the distance the movers will be traveling. Before the move the weight of the truck will be recorded without your goods, this process is known as getting the “empty weight”. However the movers will also need to know the volume of your shipment which is measured in cubic feet.  Your foreman will measure ACTUAL total volume of the shipment, after the goods are loaded. The moving company will offer standard and customized liability coverage that protects your goods, property, and trucks and includes worker compensation.

Inform all parties; employees, landlords, and your long distance movers, of every detail of the relocation process. You will be provided with a descriptive inventory list for your entire inventory per department and per item. Your entire inventory will be documented and at the end of the loading you will receive a copy of all the inventory list pages. The contents of pull drawer filing cabinets generally should not be emptied. They should remain in their location, but be kept secure with either a lock or strong packing tape. Be certain to also label any items that should not be moved.

Long-distance relocation often requires storage to safe-keep belongings for periods of time. The moving company can offer safe and fully protected space for such storage needs.

Technology
Certain technological devices may require special attention. If you are renting your equipment, be sure to notify your supplier. With computers, disconnection and dismantling services may be required. Empty all liquids from photocopiers and remove extensions that may create difficulties. Empty all items from vending machines.

Waste disposal
In order to facilitate the move for all parties involved be sure to dispose of as much garbage as possible. If your company is fairly large, than you may need to receive permission from local authorities to place big waste containers on the site.
